CHARTER National Capital Society of American Foresters Communications Committee Purpose The NCSAF Communications Committee is responsible for facilitating communications among its current members. This may also include information that is not directly related to the chapter but of professional interest to NCSAF members. There is a separate Newsletter Committee responsible for the DC Forester Newsletter. Organization “Special Committees, authorized by the Executive Committee, shall be appointed by the Chair [of NCSAF]. Such committees may include: Communications…” [NCSAF Bylaws, Article 9, Special Committees]. It is recommended that consideration be given to appointing members with background and/or experience in communications. Responsibilities The Communications Committee is responsible for maintaining the NCSAF Communications Plan, which is a “living” document that expresses NCSAF goals and objectives, and contains an action plan that should be updated annually. Most communications will be in the form of, but not limited to, announcements informing members of NCSAF sponsored events and activities (e.g., luncheon speakers, policy/issue forums, annual meetings, volunteer/work days, holiday events). Other NCSAF committees will be assisted with their communication responsibilities as needed. Announcements will be developed and distributed by the committee. Distribution will be primarily by electronic mail. Where an electronic address is not available, communications will be by hard copy U.S. mail with the Communications Committee being responsible for printing and mailing. Reimbursement for any costs incurred will be submitted to the NCSAF Treasurer with appropriate receipts and/or invoices. Information distributed under the auspices of NCSAF to its members will be done so with the knowledge of the NCSAF Chair/Executive Committee to ensure its appropriateness. The Communications Committee will regularly update its distribution lists by obtaining current member lists and changes directly from the Society of American Foresters (SAF) headquarters. NCSAF member lists maintained by the Communications Committee (particularly in regard with email) will be shared/coordinated with other NCSAF committees who need to communicate with NCSAF members (e.g., Tellers, Newsletter, and Membership,….). The Communications Committee will strive to provide communications in the timeliest manner possible. Change of address (mailing and electronic) is the primary responsibility of the NCSAF member, however, the Communications Committee will assist in facilitating this type of information exchange with SAF headquarters and the NCSAF Chair/Membership Committee.
